Privacy Notice

Kepler Gliese LLC believes access programs should create opportunity without turning applicants into a product. This notice explains how we collect, use, share, protect, and retain personal information through our website, applications, access initiatives, and related communications.

Your application is not for sale.

Sharing is purpose-limited.We disclose personal information only when reasonably necessary to operate a program, deliver an applicant benefit, protect people and systems, comply with law, or with the person's direction or consent.

1. Scope

This notice applies to personal information Kepler Gliese LLC collects through keplergliese.com, Kepler Gliese application forms, applicant and participant communications, access initiatives such as the AFROTECH 2026 Access Initiative, and closely related program operations. A specific program may provide additional disclosures when its data practices differ from this notice.

2. Information we may collect

  • Identity and contact information: name, email address, telephone number, city, state, and professional profile links.
  • Education, training, and career information: school or organization, field or role, graduation or completion timing, enrollment or career-transition information, and eligibility-related information.
  • Application content: written responses, project information, goals, need statements, and optional uploaded or linked media such as application videos.
  • Program administration information: application status, reviewer notes, verification status, communications, benefit or resource fulfillment, attendance-related information, and records reasonably necessary to administer a program.
  • Website and referral information: pages visited, referral or campaign parameters such as UTM values, browser or device information, security logs, and similar technical information generated when interacting with our website or service providers.
  • Information you choose to provide: information sent in emails, forms, messages, meetings, or support requests.
Data minimization: We aim to collect information that is reasonably relevant to program eligibility, review, administration, security, measurement, or applicant support. We do not want applicants to provide Social Security numbers, financial account credentials, medical records, or other highly sensitive information unless we specifically request it for a lawful and clearly explained reason.

3. How we use information

We may use personal information to:

  • receive, validate, review, and administer applications;
  • communicate with applicants and participants;
  • evaluate eligibility and program criteria;
  • deliver sponsored access, platform access, resources, mentoring, events, or other confirmed program benefits;
  • prevent duplicate, fraudulent, abusive, or unsafe submissions;
  • maintain records needed for program operations, accounting, dispute handling, legal compliance, security, and auditing;
  • measure program reach and effectiveness using aggregated or deidentified information where practical;
  • improve Kepler Gliese programs, systems, forms, and applicant experiences; and
  • comply with law, enforce program rules, and protect the rights, safety, property, and systems of applicants, participants, Kepler Gliese, and others.

Applicant information is not used for unrelated targeted advertising.

4. When information may be shared

We may disclose limited personal information to the following categories of recipients when reasonably necessary for the purposes described above:

  • Service providers and processors: form, database, cloud, hosting, communications, collaboration, security, analytics, and productivity providers that support program operations.
  • Program partners: only to the extent reasonably necessary to deliver a specific applicant or participant benefit, facilitate an authorized introduction, or operate a jointly supported activity.
  • Professional advisers: attorneys, accountants, insurers, auditors, or other advisers when reasonably necessary.
  • Legal, safety, and integrity recipients: government authorities, law enforcement, courts, emergency responders, or other parties when disclosure is required by law or reasonably necessary to protect rights, safety, security, or program integrity.
  • Business transaction recipients: parties involved in a legitimate financing, reorganization, acquisition, sale, merger, or similar transaction, subject to appropriate confidentiality and legal safeguards.

We may share aggregated, statistical, or deidentified program information that does not reasonably identify an individual applicant.

Sponsors: Kepler Gliese does not provide applicant lists or identifiable applicant information as a sponsorship benefit. Sponsor funding does not entitle a sponsor to select, rank, contact, or otherwise access individual applicants. If a specific introduction or opportunity would require sharing identifying information, we will use the applicant's direction or consent when required, or provide another clear lawful basis and notice.

5. Selection, protected characteristics, and AI-assisted tools

Kepler Gliese does not use race, color, religion, sex, sexual orientation, gender identity, national origin, disability, or another status protected by applicable law as a basis for an unlawful selection decision.

We may use software, automation, or AI-assisted tools for administrative support, data reconciliation, duplicate detection, summarization, workflow support, or review preparation. We do not intentionally use sensitive or protected characteristics as scoring criteria, and material program-selection decisions are subject to human review.

6. Schools and education-related information

Kepler Gliese generally prefers that applicants submit information directly to us. We do not ask schools to provide nonpublic education records about a student unless the disclosure is appropriately authorized or otherwise permitted by applicable law. A school's distribution of an application link does not give Kepler Gliese access to that school's private student records.

7. Retention and deletion

We retain identifiable information only for as long as reasonably necessary for the purposes for which it was collected, including application review, program administration, delivery of benefits, security, fraud prevention, accounting, dispute handling, legal obligations, and documented business needs. Retention periods may differ by data category.

We intend to minimize the retention of optional video submissions and other higher-risk raw application material after the relevant program and review cycle is complete. Information may be deleted, deidentified, or retained longer when required for legal obligations, litigation holds, fraud prevention, security, or another legitimate and lawful purpose.

Participation in a time-limited access initiative does not automatically mean Kepler Gliese may retain a full application indefinitely for unrelated future recruiting or talent-network purposes. If we want to keep additional information for a materially different long-term purpose, we may seek separate consent or provide additional notice as appropriate.

8. Security

We use reasonable administrative, technical, and organizational measures designed to protect personal information from unauthorized access, misuse, loss, alteration, or disclosure. Access should be limited to people and providers with a legitimate operational need. No internet transmission, cloud service, or storage system can be guaranteed to be completely secure.

9. Your privacy choices and rights

Depending on where you live and which law applies, you may have rights to confirm whether we process your personal information, access it, correct inaccuracies, request deletion, obtain a portable copy, withdraw certain consent, object to or restrict certain processing, or appeal a decision about a privacy request.

You may submit a request by emailing montre@keplergliese.com with the subject Privacy Request. We may take reasonable steps to verify your identity before acting on a request. If we deny or limit a request and applicable law provides an appeal right, reply to our response with the subject Privacy Appeal.

We will not unlawfully discriminate or retaliate against a person for exercising an applicable privacy right.

10. Applicants under 18

The AFROTECH 2026 Access Initiative requires applicants to be at least 18 years old. It is not directed to children under 13, and we do not knowingly seek personal information from children under 13 through that program. If we learn that such information was collected in error, we will take appropriate steps to delete or otherwise address it.

11. International visitors

Kepler Gliese is based in Texas, United States, and our service providers may process information in the United States or other locations. Where non-U.S. privacy law applies, we will handle applicable rights and transfer requirements consistent with that law. This notice does not limit rights that cannot lawfully be waived.

12. Changes to this notice

We may update this notice as our programs, systems, vendors, or legal obligations change. We will post the updated notice here and revise the effective date. If a change materially alters how we use information already collected, we will provide additional notice or obtain consent when required by law.
